Role description

Post title: ARLG East Midlands Secretary

Main role: Officer responsible for administrative matters for the Academic Libraries and Research Group (ARLG) East Midlands subcommittee, acting as first point of contact for the committee.  The successful applicant will be responsible primarily responsible for organising and taking minutes in our committee meetings, circulating these to members in a timely manner.  The role holder will assist the Chair and committee members on all administrative issues. The role holder must be a member of the CILIP Academic Libraries and Research Group (ARLG) and work in the East Midlands.

Key Responsibilities

  1. To be the first point of contact for ARLG East Midlands, receiving requests and correspondence and dealing with these, or passing them on as appropriate. 
  2. To liaise with the Chair in passing on information items to Committee members and in drawing up agendas for meetings. 
  3. To liaise with the Chair and Committee members in determining the meeting schedule each calendar year. 
  4. To send out agendas and supplementary documentation at the appropriate time before each Committee meeting. 
  5. To attend and take minutes of Committee and general meetings and circulate these minutes within a reasonable timescale of the meetings taking place. 
  6. To work with other officers and Committee members to produce the yearly business plan and annual report.
  7. To keep abreast and advise the Committee on issues relating to regulations and guidance governing Member Networks. 
  8. To be keep abreast and advise the Committee on issues of governance and elections relating to ARLG East Midlands.
  9. To undertake administrative tasks (such as up-to-date email addresses for committee members) and maintain effective records for ARLG East Midlands.
  10. To liaise with the CILIP Relationship Manager (Member Networks) and inform of any changes to officer and Committee roles.
  11. To promote the membership and benefits of the Member Network and CILIP within the library and information profession.

Knowledge and experience

This role is a great opportunity as no previous experience is necessary. Administrative skills, such as minute taking, are desirable, but we are willing to help develop these skills for the right candidate. More important is a willingness to participate in committee matters and excellent written and verbal communication skills.

Time commitment

1. As an officer and a member of the committee the Secretary will be expected to attend all committee meetings. These take place 4 times per year and will likely take place online for the foreseeable future. The committee plans to return to at least one face to face meeting per year when social distancing is ended. Location of face to face meetings will rotate between member workplaces and agreed in advance.

2. Total time commitments approx. 15-25 days per year.
