ARLG Regional Event Group Member

Job Description

Regional Event Group Members will work with each other, ensuring the group is well-governed, inclusive, active, championing the interests of members within the wider profession, and aligned with CILIP’s values and priorities.

This is a voluntary role and an opportunity to shape professional practice, influence sector conversations, and develop leadership and/or team skills (PKSB (PKSB 11.1 - 11.9) and contribute to your profession to provide CPD opportunities for the academic (FE/HE and research) sector in the UK and in liaison with CILIP Scotland as well as members in Wales, Northern Ireland and outlying areas. As a result, group members will also be able to expand their networks as well as inform the running of their regional group and contribute towards the strategic development of the Academic and Research Libraries Group as a whole.

The main responsibilities of the ARLG Regional Event Group members are to:

  • Maintain communications with fellow group members, using the most appropriate method of communication
  • Attend and contribute to meetings at which the group’s events and visits are planned and reviewed.
  • Organise or co-organise events and/or visits as agreed by the group. Field registration & post-event enquiries
  • Find and brief speaker(s); establish their needs, e.g. equipment, travel expenses, fee if appropriate and date availability.
  • Find suitable venues and any necessary catering for in-person events.
  • Liaise with the ARLG Committee over costs of speakers, travel expenses, venue costs and catering before confirming event.
  • Draft publicity text including audience and aims, programme with timings and short speaker biographies; to advertise on CILIP website or send to ARLG committee Publicity Officers to advertise, a minimum of 6 weeks before the event.
  • Keep the ARLG committee informed of the general progress of event planning between meetings as appropriate.
  • Attend events and/or visits organised to administer, observe their effectiveness or support as necessary.
  • Review the feedback from the event and report back to the ARLG committee at the following meeting.
  • Willingness to establish collaborative relationships with library professionals from all academic & research libraries in the region. This can include Cilip networks and special interest groups as well as other non-Cilip library & information staff with an interest in the ARLG’s specialism.
  • Willingness to work with another regional events co-ordinator, either in the same region or other regions as appropriate.

The number of events and visits organised by each Group varies. For example, some events may run regularly from year to year, some may involve the hiring of one consultant for the day, while others may require the original planning of a coherent programme consisting of several speakers. Support will be provided by the National Committee as and when it is needed.
