CILIP East Member Network are seeking a Secretary to support the Chair with essential committee functions, so that we can offer local support and development opportunities to Library and Information Professionals in our region/special interest.

Purpose of role: The Secretary is responsible for administrative matters for the East of England Member Network Committee. The role holder must be a member of CILIP.
What the Secretary does:
1. To be the contact for CILIP East of England Member Network Committee (CILIPEofE), receiving requests and correspondence and dealing with these or passing them on as appropriate.
2. To produces email communications for local members which promote committee events and information, using the CILIP mass mailing system and other mailing lists.
3. Helps organise, takes and circulates minutes of committee and general meetings (including the AGM) of the Member Network. Meetings usually take place online.
4. To liaise with the Chair and Committee members in determining the meeting schedule.
5. To work with other officers and Committee members to produce the yearly business plan and annual report.
6. Maintains records for CILIP East (e.g. committee member information), using cloud storage tools.
7. Helps advise the committee on issues raised by CILIP relating to regulation, guidance and governance of Regional Member Networks, with support from the Chair and CILIP.
8. Has the opportunity to be involved with organising events, projects and marketing.
9. Promotes the membership and benefits of Member Network and CILIP within the library and information profession.

Hours are flexible; workload varies depending on committee activities and time of year. Usually up to an hour a week, keeping on top of emails. Plus attendance and minute-taking at the AGM (may be online or in-person) and 4 committee meetings per year (usually take place online). During events there may be some additional organisational work, e.g. responding to attendee emails.
Committee members are expected to be proactive and to participate in committee discussions (usually by emailing list) between meetings and events.
You will be given access to a dedicated CILIP email account, which must be used for all communications outside the Committee.
CILIP Support
You will be supported by the Communities team at CILIP who you can contact via email at membernetworks@cilip.org.uk and you will be given access to the CILIP Champions area which features guides and tutorials on the systems you may use in your committee role.
You will also have access to a dedicated CILIP Member Network Office 365 account which includes email, Teams and the Office 365 suite, to keep your CILIP documents safe and secure.
This is not a salaried position, but we’ll cover expenses like travel and you will be entitled to claim a 10% discount on CILIP membership fees.
