Job Description

We are seeking a Secretary to support the Chair with essential committee functions, so that we can offer local support and development opportunities to Library and Information Professionals in Wales.

What the Secretary does:

  1. Monitors the CILIP Cymru Wales Secretary email account, dealing with or passing on enquiries. Assists the Chair in passing on information to committee members.
  2. Helps organise, take, and circulate minutes of committee and general meetings (including AGM) of CILIP Cymru Wales. Meetings usually take place online but may be in person or hybrid.
  3. Supports other officers and committee members to produce occasional committee reports or documentation.
  4. Maintains records for CILIP Cymru Wales (e.g. committee member information), using cloud storage tools.
  5. Has the opportunity to be involved with organising events, projects and marketing.
  6. Promotes the membership and benefits of CILIP Cymru Wales and CILIP within the library and information profession.

Hours are flexible; workload varies depending on committee activities and time of year. Usually up to an hour a week, keeping on top of emails. Plus attendance and minute-taking at the AGM (may be online or in-person) and 4-6 committee meetings per year (usually take place online). During events there may be some additional organisational work, e.g. responding to attendee emails.
